If you are encountering the "Signature cannot be published" error notification in the Signature Manager application this article will guide you through the most common causes and their solutions. This error typically indicates that while the application can connect to your domain, it is being blocked from updating the signature for a specific users due to a configuration, permission, or data issue.


There are two primary reasons this can happen. Please review each of them to resolve the issue:


Reason 1: User is not in an Unauthorized Organizational Units

During the app's setup, you defined which Organizational Units (OUs) the Signature Manager is permitted to manage. If you attempt to publish a signature to a user who resides outside of these authorized OUs, the action will fail. This is a security feature to ensure the app only affects the intended users.


Solution: Verify that the user you are trying to update is located within an OU that the application is configured to manage.

  • How to check: In the Google Workspace Admin console navigate to Apps - Google Workspace Marketplace apps - Apps list - Free Signature Manager for Gmail - User Access - View organizational units and groups:

    • In the left column check which OUs do have the grey dot next to its name. Those with the grey dot are those allowed OUs.  

    • Continue by checking if the users to which your are trying to publish the signature to all within the authorized OUs.

    • If not, grant access to more OUs, whole domain or add users to the already authorized OUs.


Reason 2: Incorrect or missing user attributes

Signatures are dynamically built using placeholders (attributes) that pull data directly from each user's Google Workspace profile. If you miss-configure the attributes, the app may stop you from publishing the signature before fixing the issues.


Solution: Review the signature setup under the "Detail" and "Social" sections and check for any red notifications which needs to be addressed.
