Today, September 23, 2024, we’re bringing you a set of new features and improvements to enhance your experience with our Gmail Signature Manager. Please take a moment to review the updates below. If you already have signatures published, we’ve also provided step-by-step guidance on how these changes might affect you and what actions (if any) are needed.
What’s new
New features
Signature management on multiple domains
You can now manage signatures for both primary and secondary domains. In the user overview, you'll see which users will have their signature published, including those from different domains.
If you wish to publish signatures only for a specific domain, you will need to manually select the users for that domain.
Multiple signatures available
You can now publish multiple signatures. For each signature, simply select the users to whom you want to assign it.
Please ensure that no user has more than one signature at a time. While the app will continue to function normally, having multiple signatures may cause one to overwrite the other is selected for one user.
This new feature also removes the "Sync signatures" button. To add new users to your signatures follow the guide "If you want to add users to the signature" bellow.
Signature removal only to selected users
When publishing or updating a signature, the application will now first remove the signature only from the selected users, then re-apply it to those same users. Previously, the application removed the signature from all users and only added it back to the selected ones.
Improved confirmation emails
Emails confirming signature publication or removal now include a detailed summary of successful and unsuccessful actions.
Updated manual
A revised version of the manual is now available. [Access the manual here].
Bugs fixed
Faulty “Company phone”
Previously, if you added a "Company Phone" and a user did not have this field filled, a default phone number would be applied. This has been fixed. Now, if the user's Directory entry is blank, no phone number will be applied.
Publishing first signature?
If you are yet to publish your first signature, feel free to use the new features to the maximum and follow the updated manual.
How to work with already published signatures?
These following steps are meant only for app users who published the signature before September 24, 2024. If this is not valid for you, just simply follow the app manual.
If you published the signature before September 24 and you don't need to make any changes to your existing signatures, you can leave everything as is. However, if you want to update or manage your current signature, please follow these steps:
If you want to remove the signature
Create a new, visually identical signature and publish it to the same users as the original.
For the new signature, click "Unpublish" to remove it from all assigned users.
Open the details of the original signature and click "Unpublish" (this will not remove the signatures from users, but will allow you to delete the signature from the app).
Delete both the original and new signature from the signatures overview.
If you want to modify the visual design
Create a new signature with the updated design and publish it to the same users. This will replace the previous signature.
Open the details of the original signature and click "Unpublish" (this will not remove the signatures from users, but will allow you to delete the signature from the app).
Delete the original signature from the overview.
If you want to add users to the signature
Create a new, visually identical signature, select the original users plus the additional users, and publish it.
Open the details of the original signature and click "Unpublish" (this will not remove the signatures from users, but will allow you to delete the signature from the app).
Delete the original signature from the overview.
If you want to remove users from the signature:
Create a new, visually identical signature and publish it to the same users as the original.
For the new signature, click "Unpublish" to remove it from all users.
This step is best done outside of business hours, as there may be a small window of a few minutes at most when users may be without a signature.
Remove the users who should no longer have the signature and re-publish the updated signature.
Open the details of the original signature and click "Unpublish" (this will not remove the signature but will allow you to delete it).
Delete the original signature from the overview.
